As directed, purchases equipment, parts, supplies, and materials. Obtains quotes from current or proposed vendors in order to purchase at best-value price. Work is performed in accordance with company purchasing procedures and processes under general supervision.
Generates required purchase orders from system in order to purchase equipment, parts, and supplies from company preferred vendors. If more than one preferred vendor available, obtains bids from each in order to identify the best-value purchase. When notified of needed local purchase, obtains bids from suppliers in order to identify the best- value purchase based on quality, quantity, specifications, and delivery timeframe needed. Uses designated system to enter required information into system to generate a Purchase Order for all purchases. As necessary, completes a new vendor request form and faxes to corporate Accounts Payable in order to set up vendor in system. Routes the purchase order to the vendor, providing a copy to the warehouse or designated receiver for filing pending receipt of order. Routes copy of purchase order to designated administrative staff for filing pending receipt of receiving documentation and invoice. As needed, communicates with vendor on status of pending purchase orders to ensure that product is delivered as requested and to obtain expedited shipping when needed. Keeps abreast of current and prospective suppliers in order to advise branch management and/or corporate purchasing of suppliers ability to provide desired products and service to the company. May generate daily reports from designated system to review usage of parts and supplies from truck stock in order to identify items that need replenishment. May count stock levels in warehouse bins to identify items requiring reorder in accordance with established reorder level. May complete required reorder forms, faxes to appropriate vendors, and files forms according to standard procedures. Following standard procedures and using designated system(s), orders equipment, parts, materials, and supplies. As requested by Service Technician or others, researches source and orders non-stocked/non-standard parts for individual customer. Represents the company professionally, honestly, and ethically in all business matters and activities. Performs similar/other duties as needed or assigned.
Sheet metal experience a definite asset.
High school diploma or equivalent with 1-2 years experience.
Familiarity with equipment and materials utilized in the HVAC industry is preferred. Detail oriented with proficiency in double checking own work to identify and correct errors and omissions. Solid arithmetic skills Ability to multitask in a busy work environment and to organize and manage multiple priorities. Knowledge of generally accepted administrative practices and procedures. Ability to learn and follow company process and procedures. Excellent customer-service, verbal and written communication, and interpersonal skills. Experience or training the use of computers and related systems in an administrative office environment. Working knowledge of Microsoft Word, Excel and Outlook software applications. Ability to communicate with co-workers and customers in a pleasant, business-like, and customer-focused manner. Ability to work effectively in both a team and an independent environment.
